Name the item and requirement

Link every inspection request to a BOM line or drawing feature. Separate model and quantity verification from dimensional, material or functional requirements.

Define the acceptance basis

Provide the governing drawing, specification or agreed reference. Identify tolerances, sampling requirements and any required method where these form part of your acceptance criteria.

Request specific records

List the required document or record for each item. Document availability and any additional inspection need confirmation; no certificate or test capability is implied by a general sourcing request.

Agree how exceptions are handled

State who reviews a discrepancy and whether shipment must wait for approval. Record approved changes against the affected item rather than using an undocumented verbal substitution.
