Give every item a stable line number

Keep your own part number alongside the supplier or manufacturer reference. Use the same line number in drawings and clarification replies so an updated quantity cannot be attached to the wrong part.

Separate known details from open questions

Record category, full model, quantity and unit for each line. Mark missing information as to be confirmed. Do not guess a suffix merely to complete a spreadsheet.

Identify connected components

Group rails with blocks, screws with support units, and pulleys with belts using an assembly reference. Keep separate quantities for each component even when they belong to one assembly.

Show purchasing priorities

State delivery destination, required timing and which lines are urgent. Mark whether alternatives may be proposed for individual items and whether split shipments can be reviewed.
